Job Specification Roles & Responsibilities Job Title: Project Manager Reports to: Contracts Manager (day to day) & Regional Director (Monthly) Other working relationships, Managing Director, Design Teams, EA/ Client Project Manager, Construction Personnel, Contracts Administrators, Design Managers, All Subcontractors, Workplace Health & Safety Officers, Consultants, Purchasing Dept, Plant Dept, . Objective: Overall responsibility for the completion of the design, construction, and delivery of the project safely, on or ahead of contract programme, ahead or within budget and in accordance with the client s ER s/Contract CP s. Reporting to: Contracts Manager Responsibilities This position is a key senior management role within the company and the incumbent is expected to lead the project team and work as the lead team member on his or her site in achieving the outcomes of the project and the organisation in general. Pre-Construction/PCSA • In the PCSA period, to lead design and assist the commercial interface with the Construction and Commercial Directors. • Ensure consultants are appointed and conform to the company s policies and procedures. • Ensure the design programme is drawn up (for approval of the Regional Director) and it is monitored and maintained throughout the PCSA project. • Ensure the procurement programme is drawn up in conjunction with the project QS for the approval of the Construction Director. • Ensure the target programme is agreed in line with the above and communicated to client and consultants (but only after the contract is signed) • Responsible for implementation and maintenance of the project quality plan for each project during the design and construction phases. • Responsible for the preparation, control and distribution of project quality documents during the design phases. • Ensure that all design documentation is carried out to RIBA Stage 4 in accordance with the client s brief and meets the envisaged budget. • Agree the contract programme with the Contracts Manager and Regional Director ensuring there is some float for improvement at construction stage. Construction Phase • Upon handover from the Commercial Department, assume full control and co-ordination of design consultants engaged by the Development Team, and procure the remaining consultants necessary to complete the design. • Develop project plan or project construction working to the project drawings specifications, budget and timeline, for approval and sign off by your Regional Director. • Agree the construction programme with the Contracts Manager and Regional Director. • Agree the project budget with the Regional Director, Managing Director and Commercial Team. • Overall responsibility for EH&S on the Project • Agree project cost budget in conjunction with the Project QS and Contracts Manager and present same to the Regional Director. o Prelims Budget o Package budgets o Overall Budget • Agree project team meetings o Site Team o Supply Chain o Client Meeting (Monthly External) o Project Review (Monthly Internal) Assist in developing systems and procedures to ensure efficient and timely administration and reporting to our clients on our projects. • Lead the design Management process (with the assistance of your design manager) to liaise with Design Team to ensure construction requirements/buildability issues are incorporated into project design documentation and assist in completing feasibility studies for prospective projects. • Responsible for most formal and informal communication with the client or client s representative (e.g. EA-Project Manager Client Side). • Responsible for the completion of a detailed programme for each package and ensure efficient planning of construction resources. • Presenting the progress report to the client monthly or as required. • Chairing the Design team meetings and ensuring actions are delivered. • Overall responsibility for the project team setting targets and goals. • Oversee and issue RFI s • Oversee and issue Technical Submittals • Oversee and issue all scope and attendance for subcontractor appointments • Appoint all packages with the companies project QS on subcontractor appointments so scope gaps are minimised and is clearly communicated, avoiding delays and claims from subcontractors. • Chairing Subcontractor appointment meetings. • Chairing weekly design and key subcontractor meetings Commercial Specifics • Initiate and implement the plan covering all its construction facets: Assembling Project Team Tendering/Selection and letting of sub-contracts in conjunction with Contract Administrator and construction program Bulk supply and specific materials supply, tendering/procurement in conjunction with subcontractors and/or the companies procurement department. Post-Construction • Co-ordination of purchaser pre-settlement inspections. • Ensure all construction details are consistent with good quality practices and in accordance with recognised industry standards. • Close off project and arrange post-construction review meeting within two months of practical completion. • Co-ordinate the compiling of the end user/owner s manuals • Arrange for operational assistance for the end user owners and advice upon delivery of all operational aspects of the project. (Mechanical ventilation, fire systems, security, lifts, pool and spa equipment, air conditioning, irrigation etc.) • Liaise with the end users and be responsible for ensuring all defective works are attended to in a timely manner during the 12 months defect liability period. • Input into defect reviews to facilitate efficient management of project maintenance obligations.
