This role will provide PA and business co-ordination and support to the Director, Head of Sustainability Office and the team. The successful candidate will be an active member of the Sustainability Office team and will deliver timely and efficient maintenance of a range of administrative duties, as well as will co-ordinate and support on the communication and business needs based on the Sustainability Office agenda. The person will need to be proactive in delivery and adaptable in their working style to a variety of daily challenges. Key Accountabilities and Responsibilities: Proactively managing the diary the inbox of Director, Head of Sustainability Office with integrity and confidentiality. Provide operational support for communication needs and opportunities for sustainability, in alignment with the communication for sustainability, to deliver campaigns and PR messaging, events, announcements and storytelling. Co-ordinating key leadership team meetings for preparing documents, writing minutes, taking action points and circulating with relevant stakeholders and following up on actions. Supporting the Sustainability Office leadership team on various projects of work. Booking of meeting rooms, venues, catering and general events logistics as required. Booking and arranging travel, transport and accommodation as required. Submitting expenses on behalf of Director, Head of Sustainability Office. Raising purchase orders and managing invoices in SAP. Organising and storing paperwork, documents and computer-based information. Building and maintaining relationships with stakeholders and liaising with them competently. Undertake any other work as directed by the line manager in connection with job as may be requested. Key Performance Indicators: Effective diary and inbox management of Director, Head of Sustainability Office. Effective communication support provided to Director, Head of Sustainability Office, collaborating with the communication team and other relevant internal stakeholders. Effective co-ordination to setup and handle all the logistics of workshops and events with internal or external stakeholders. Co-ordinate positively with the other team members involved in the organization setup from content perspective. Effective co-ordination with PA or business co-ordinators of business partners to agree on meetings and events opportunities. Co-ordinate and involve team members from the SO as needed, in-line with the agenda. Knowledge, Skills and Experience: Essential: Previous experience working in a Business Co-ordination or Executive Assistant role, preferred from the communication area. Previous experience co-ordinating senior stakeholders. Proven ability to work in a fast-paced, changing, agile organisation. Detail orientated with good organisational skills. Above average written and verbal communication skills. Desirable: Understanding of sustainability agenda and transformation at the company. Understanding the basics of communication to deliver activations. Existing knowledge of working with finance processes in SAP, venue booking and system usage.
