Large Party Dining Coordinator (Full-Time)

Minimum Requirements:

  • Minimum (1) year experience
  • High School Diploma or equivalent credentials
  • College degree preferred
  • Excellent communication skills, both written and verbal
  • Must be at least 18 years of age (Georgia law requires that one must be over the age of 18 to dispense or serve alcoholic beverages)
  • Proficient in Windows XP and Microsoft Office software applications such as: Word, Excel, PowerPoint and Outlook
  • Proficient with peripherals, copier, fax, telephone and calculator
  • Minimum typing skill of 20+ wpm
  • Must have ability to courteously present information to people in one-on-one and group situations

  • Tasks/Responsibilities:

  • Responsible for F&B communication as requested with the division leaders
  • Attend relative weekly and monthly meetings
  • Assist with deadline management as requested
  • Receive incoming telephone calls promptly and politely, demonstrating proper phone etiquette
  • Maintain a thorough understanding of Consultative Selling Techniques
  • Learn the names and personally recognize our regular Guests and Members
  • Communicate with all guests in a professional manner through email
  • Assist Members and Guests by making knowledgeable recommendations as requested, follow-up with reservations and confirmation of a variety of services, including but not limited to just dining
  • Efficiently manage the Dining Reservations by accurately entering guest information into the system and process payments in a timely manner
  • Work with all resort departments to maintain maximum rapport and open communication channels to anticipate and satisfy Member and Guest needs and demands
  • Ensure guest history information is collected and utilized on all guest transactions given an accurate account of what has been discussed with the guest so operational departments can deliver or exceed the guest's expectations
  • For dining groups of 12 or more, responsible for creating an REO, communication with the restaurant outlet, and overall guest satisfaction
  • Act to solve guest problems coordinating necessary efforts through the appropriate departments and consistently follow-up with guests to ensure proper actions and responses have been received
  • Maintain REO book to include inputting all changes and revisions in the book and ensure proper communication
  • Maintain reservation communication in Opera, Resort Suite, ResDiary and Outlook
  • Position will be responsible for creating Restaurant Event Order (REO)
  • Maintain a thorough knowledge of current guest services, dining options, shops, local attractions and historical information regarding Sea Island and the surrounding area to answer any questions guests may have to the best of one's ability
  • If applicable, complete a Guest Problem Resolution (GPR) form on any issues (solved or unsolved issues) and follow-up on issues as needed (if computer access is not available give information to admin support)
  • Maintain cleanliness and organization in all work areas
  • Uphold appropriate departmental standards of quality/timing
  • Uphold and ensure compliance with all company and departmental policies and procedures 
  • Attend all scheduled employee meetings and bring suggestions for improvement
  • Willing and timely execution of other duties as delegated by leadership
  • Assist outlets as needed in various roles as determined by directors of outlets
  • Manage time in a remote setting with minimal supervision. If/When working remotely, MUST be able to provide a quiet, distraction free environment free of background noise. Guests must not be aware team member is not working on property.
  • Physical Requirements:

  • Ability to kneel, crouch, squat, climb, stand, sit, balance, reach, bend, push, pull and walk for prolonged periods
  • If applicable, must have the ability to work for extended time periods in an outdoor environment, including sun, heat, cold, wind, rain, and higher than normal noise levels
  • Ability to perform repetitive tasks with accuracy
  • Ability to lift, carry, pull and push up to 30 lbs intermittently throughout a shift or use repeatedly throughout a shift 
  • Ability to read, write and communicate effectively in English, both written and verbal
  • May be exposed to mechanical, electrical, chemical and fume hazards
  • Maintain compliance with Company Resort Professional Image Policy
